Submit and track payment evidence
On this page
Payment evidence helps billing match a payment to the invoice. Submitting a receipt does not itself confirm that funds were received.
Before you begin#
Who can do this: an Owner or Billing user. The invoice must be issued with an outstanding balance and the notification form available. Have the transfer reference ready. An optional receipt or transfer confirmation must be at most 3 MB.
Submit payment details#
- Open the invoice in Settings → Billing → Invoices.
- Under Already paid?, choose Notify us.
- Enter Payment reference with enough detail to identify the payment.
- Optionally choose a file in Receipt or transfer confirmation. Remove unrelated personal or financial details first.
- Choose Review and check the reference and attachment shown in Review payment details.
- Choose Submit for verification.
You should see: Your payment details have been sent for verification, followed by the submission in Payment submissions.
Track the result#
Return to the invoice and review each submission's status, date, filename, and any review message. Billing verifies the money received before updating the paid amount and outstanding balance.
A submitted or pending item is different from verified payment. Partial payment may leave an outstanding balance. An invoice can therefore remain unpaid after a successful evidence submission.
If evidence is rejected or submission fails#
Read the review message and provide the requested correction or clearer reference. If a file is larger than 3 MB, reduce it or submit the reference and ask Support how to provide additional evidence. This form's limit is separate from support attachment limits.
If file reading fails, choose the file again. If submission times out, reload the invoice and inspect Payment submissions before repeating it. After a sign-in interruption, recheck the invoice and form; unsaved evidence is not covered by company draft recovery.
Do not make another payment just because a submission is awaiting verification. For an unclear review, contact Support with the invoice and transfer references.
